Contract for Accommodation
All booking requests for accommodation made on the website are subject to acceptance by us. We are not obliged to accept your booking request and may, at our discretion, decline to accept any booking request for any reason. If – for whatever reason – we can’t make you an offer of accommodation, we’ll let you know as soon as possible, explain why, or offer you an alternative solution.
Where we accept your booking request, we’ll send you an offer of accommodation. You will need to accept the offer of accommodation online to confirm the booking. We reserve the right to withdraw an offer of accommodation at any time before it is accepted by you on the website. Please note that our offer of accommodation shall automatically lapse if you do not confirm the booking within 10 days of receipt.
You can accept our offer of accommodation and confirm the booking by:
logging into your account on the website
providing details of your guarantor (if applicable);
providing ID documentation and any further information which we may request from you; and
reading through and signing your tenancy agreement.
Your booking will be confirmed and the contract to supply the accommodation created when you sign your tenancy agreement. You acknowledge and agree that once you have signed the tenancy agreement you will have no right to cancel the contract, and shall be liable to pay the full rent and any related fees relating to the accommodation for the duration of the tenancy.
Guarantors and Payment Terms
If you don’t have a UK-based guarantor, we’ll ask you to pay the full years’ rent upfront ten days before your contract starts.
Alternatively, you can use a guarantor service such as Your Guarantor who will act as a guarantor on your behalf for a small fee. You can select this option when you make a booking at any of our Hello Student managed properties.
If you do have a guarantor, you can pay your rent in three instalments. The first, ten days before your contract starts (or you won’t be able to move in). The second in January. And the last in April.
In some cases, (like if your student loan comes through later) you may be able to pay in four instalments instead. To arrange that just contact us.
Cancellations After You've Moved in
If for any reason you decide to leave during your contracted term, we might be able to release you from your tenancy agreement. But only if these conditions are met:
You agree not to transfer or sublet the tenancy to anyone else without our written consent, as in point 7.1(n) of the tenancy agreement.
You find a suitable replacement to take a new tenancy agreement for the rest of your tenancy. This person must: be at least 18 years old and enrolled as a full-time student in a university close to the accommodation; enter into a tenancy agreement with us and pay all sums due within it; and provide a guarantor where reasonable, who must accept the terms and conditions set out in the tenancy agreement.
You pay a £50 administration fee.
We can’t refund you until the student replacing you has taken over your room’s contract, signed the tenancy agreement, paid, and moved in.
If you can’t find someone to take over your tenancy, you’ll be responsible for paying the full rent until the end of your tenancy agreement.
If You Don't Get a Place at University
If you’re a first-year prospective undergraduate student and your offer at your preferred higher education institute is withdrawn, we may be able to release you from your tenancy agreement if:
You find a suitable replacement to take a new tenancy agreement for the rest of your tenancy. This person must: be at least 18 years old and enrolled as a full-time student in a university close to the accommodation; enter into a tenancy agreement with us and pay all sums due within it; and provide a guarantor where reasonable, who must accept the terms and conditions set out in the tenancy agreement; and
you provide a written rejection letter from your chosen higher education institute; and
you provide a copy of the acceptance letter from your new higher education institute.
How to Book
Online (on this site!) just choose your city, find the property that suits you best, choose a room, then follow the instructions from there.
You can call or email us to book, using the number or email address on your chosen property’s page.
Or book in person. Just pop in and our team will answer your questions, show you round the building, and help you book.
The Booking Process
Booking with us is simple, we won’t ask you to pay any deposits or upfront costs!
All you need to do is complete an online booking form. We’ll ask you your name, number and email (all the usual personal details) and how you’d like to pay.
After that’s all done, and we’ve accepted your booking, you’ll be sent an offer of accommodation. We’ll send you a link to complete some further details and create your resident account. Once your account is created, you’ll need to verify your identity, so please have your photo ID to hand for this part of the process. If you have chosen to pay your rent in instalments- you’ll also be asked to provide details of your guarantor. Finally, you can access your tenancy agreement which you’ll need to sign . All of these steps will need to be completed within 5 days and then… that’s it. You’ve booked a room. Congrats!
You will need to make your first payment 10 days before your move in date. If you are unable to move in please advise your accommodation manager as you are legally bound to pay your full year’s rent upon signing your tenancy agreement.
Any Special Requests?
We want to make sure your room’s just right. On your booking form, you’ll see a preference box. There, you can tell us if you’re looking for anything in particular from your room. Things like: I want to live with my friends. We’ll do our best to make sure it happens.
Types of room
You’ll see a few different types of room when you’re browsing our buildings. Here’s what you can book.
A room. Your own bed, desk, chair, bookshelves, wardrobe, and plenty of storage. It’s almost always ensuite, and gives you access to the building’s shared communal spaces, like gyms and study rooms.
A studio. This gives you your own study space, bathroom, kitchen, and living area. You’ll have access to shared communal spaces in the building, like cinemas. Some of our studios are big enough to share between two – speak with the Accommodation Manager to check availability. Note: you both have to be full-time students, studying in the UK.
Shared apartments. You can book one room, or a whole apartment to share with friends. You’ll get your own bedroom, with a study area, and almost always, an ensuite. You’ll share a kitchen and lounge with your new flatmates, and depending on the property, some great communal spaces too.
Types of communal spaces
Our buildings are more than the sum of their rooms. So in almost every Hello Student property, you’ll find places to meet, play, and work with other students. Here are a few.
Gyms. You’ll likely find treadmills, cross trainers, exercise bikes, rowing machines, and fitness and weight training equipment.
Cinema rooms. A huge projection screen, with surround sound, and remote control. And ambient lounge seating. (Comfy.) Use the blu-ray player, or plug in your laptop to play your own films.
Games rooms. Here, you’ll find foosball. Or pool. Or table tennis. And fun. Competition. Laughter.
Study rooms. There are small rooms for private study, and large rooms for group work.
How to pay
You can pay via a debit card, direct debit or bank transfer. (No cash or cheques, sorry.)
If you’d like to change a payment method you’ve already set up, please contact your accommodation manager directly.
You can pay your whole year’s rent, in full, at the start of the year. That way you won’t need a guarantor.
Or you can pay in instalments – you’ll need a guarantor to do that.
Guarantors
If you’re paying your rent in instalments, you’ll need a guarantor. That gives us – and you – the security that your rent will be paid in full.
This person should be a permanent resident of the UK, who has lived in the UK for more than three years, and is recognised as a taxpayer by HMRC.
They’ll need to provide us with proof of address (less than three months old) and photo ID. They’ll also need to provide proof of available funds (for example, three months of payslips and/or a recent bank statement).
Don’t have a UK guarantor? You can still pay in instalments, with a guarantor from Your Guarantor
Living in Scotland?
In Scotland, we’ll only ask you to pay up to six months’ rent in advance. But if you want to, you can still pay for the whole year. Just give your property’s team a call.
